I want to clear reviewed, no-action email from my inbox without deleting it

When your inbox contains email you have already reviewed and decided does not need further work, Inbox Cleanup moves it out of the inbox while keeping it available.

The job this workflow helps me complete

Clear only reviewed, no-action email.

When your inbox contains email you have already reviewed and decided does not need further work, Inbox Cleanup moves it out of the inbox while keeping it available. That clears visible clutter without losing the record.

Inbox Triage reviews and classifies incoming email. Inbox Cleanup uses those classifications to move no-action email out of the inbox and, when you run it interactively, gives you a chance to decide what to do with email marked for later review or uncertainty.

When you should run it

At a minimum, the Work OS Health Check is scheduled to run at the end of each week and includes an inbox-cleanup assessment. It identifies the email that is ready for cleanup; Inbox Cleanup is the action that moves eligible no-action email out of the inbox.

If your inbox changes throughout the day, consider scheduling Inbox Cleanup separately at the end or beginning of the day. That keeps the automatic no-action cleanup moving between weekly health checks. A scheduled run skips the interactive review; email that still needs your decision remains in the inbox for you to handle later.

Before you run it

Your inbox connection and cleanup settings must be ready, including permission for automatic No Action archiving. Inbox Triage must have reviewed the email first.

Only email that is still in the inbox, carries exactly one current work signal, is within the completed triage boundary, is the latest delivered email in its thread, and has no newer reply is eligible. Older labels or email without a verified current work outcome stays out of cleanup.

What the workflow does

From reviewed email to a cleaner inbox.

Inbox Cleanup finds current work-labeled email that Inbox Triage has already reviewed. It archives email marked No Action automatically. When you run it yourself, it also lets you review email marked for later review or uncertainty. Email that needs a reply or an action remains in the inbox.

The archived email remains available in the connected inbox. Its classification, relationship, and other non-target labels stay in place.

How this workflow is built

Eligibility, review, approval, and verification.

Inbox Cleanup uses the work signals assigned during Inbox Triage. Triage handles the initial classification. You still own the decision for email marked for later review or uncertainty when you run cleanup interactively. Work Compass archives email already marked No Action and keeps the rest visible according to its current work signal.

Key steps and decisions

Move from candidate scan to verified cleanup.

  1. 01

    Start with the reviewed inbox.

Inbox Cleanup checks the connected inbox for email that meets the current cleanup conditions. Email without a verified, current work outcome is left for Inbox Triage.

  2. 02

Let No Action email leave automatically.

Eligible No Action email is marked read if needed and archived. It leaves the inbox but remains available with its labels.

  3. 03

Review the remaining email when you run it yourself.

Work Compass keeps Needs Reply and Needs Action email visible for follow-up. For Review Later and Uncertain email, it gives you the option to leave them in the inbox or move selected email to No Action and clear it.

  4. 04

Let a scheduled run handle the automatic path.

When Inbox Cleanup runs on a schedule, it skips the interactive review and archives only eligible No Action email. Everything that still needs your decision remains in the inbox.

  5. 05

    See the benefit immediately.

After Work Compass runs, eligible no-action email is out of the inbox but still available when you need it. Email that needs follow-up or a decision remains visible, so the inbox reflects the work that still matters.

The output: what happens and where it goes

What changes and what stays recoverable.

The review of Needs Reply, Needs Action, Review Later, and Uncertain email appears in the conversation one group at a time. That review surface is not a saved file. The email itself remains in the connected inbox unless you explicitly move selected email to No Action.

Verification and recovery

Verify the archive result or recover safely.

After cleanup, your inbox is quieter without hiding the work that still needs attention. No-action email remains available when you need it, while email needing a reply, action, later review, or clarification stays visible until it is dealt with.

The cleanup result gives you a record of what moved out of the inbox and what remains for follow-up.
